ePortfolio Resources and Support 

Our Clinical Radiology and Radiation Oncology Training Programs are administered in the ePortfolioThe ePortfolio is the repository where trainees will record, monitor and review all training requirements for the training program. Trainees will receive a login when they have been accepted into the training program.

User Manuals

These comprehensive guides are designed to provide you with detailed instructions on how to make the most of the ePortfolio.  The user manuals are designed so that each section can be read independently. You do not need to read the manual cover to cover, as each section provides all the information necessary for a particular aspect of using the ePortfolio. This enables you to focus on the specific features you need, without having to sift through unnecessary information.

FAQs

Here are some commonly asked questions that can help provide information about the ePortfolio.

  • Manages training requirements (eligibility and due dates for all assessments)
  • Functions as a repository for assessment submissions
  • Tracks training and progression
  • Tracks rotations
  • Manages changes to training status (FTE and Breaks in Training)

You can log into ePortfolio System via the MyRANZCR portal, using your Member ID.

  

Your ePortfolio profile can be accessed by your Director of Training, RANZCR Specialty Training Unit and other professionals who may support you through training such as Education Support Officers, Training Network Directors for Radiation Oncology or Network Training Directors for Clinical Radiology:

  • Your Director of Training (DoT) has access to your training profile to monitor your progression and approve submitted assessments as well as making changes to training status applications.
  • If your training network has a Training Network Director (TND)/Network Training Director (NTD) they will have access to your training within the Network. They are able to monitor and track your training progress to assist with approving your Phase progression.
  • If your training network has an Education Support Officer (ESO), the ESO will be able to view your training profile and (for RO only) submit your Oncology Sciences workshop attendance.
  • Clinical Supervisors are not able to view your trainee profile, they approve training requirements that are submitted to them by trainees.

 

In order to assign certain forms and assessments to your Director of Training in the ePortfolio, you must first be connected to them via your Current Site location.

To set your Current Site location from your dashboard, click on the green ‘Create’ button in the Create a New Activity or Assessment menu, which lists all items that trainees can complete. In the ‘Apply a Location’ section select ‘Apply a location – Current Site’. Complete the form by entering start date and expected end date and selecting the relevant site location then submit. 

If you are receiving the error message “The user you are trying to invite does not have the correct role and/or relationship to you”, check to see that you have submitted your current location details or that your previously submitted Current Site location is still active.

To review this, click into your Timeline and search Current Site.

Before you rotate to a new training site, please remember to:

  1. Update your current site in the ePortfolio System before the start of your next rotation.
    Note: you are required to enter the commencement date and end date of your rotation, this links your profile to your site and DoT.
  2. If you have any outstanding training requirements that require DoT approval, please ensure this is completed before the end date of your current rotation.

You should enter all future rotations prior to your commencement date. 

As the deadline to submit Dark Period (1 October 2021 - 6 February 2022) and TASS documentation was 31 March 2022 (CR) or 1 February 2022 (RO) the College is no longer reflecting this progress in the ePortfolio from 1 November 2022.

For assessments completed before February 2022 but not updated in the ePortfolio, trainees must submit the following items with their ePortfolio phase progression/completion of training application for review by the LGC/NGC:

  • a letter explaining why a trainee transcript or TASS form was not submitted
  • evidence of the completed assessments with Director of Training approval

All WBAs were required to be complete in the ePortfolio from 7 February 2022. WBAs completed on a paper logbook and not entered into the ePortfolio must be reinput by the trainee and signed off by the relevant assessor in the ePortfolio system. The College will not be reflecting progress for WBAs not input into the ePortfolio from 7 February 2022.

If an error is made to a date or section of an ePortfolio assessment form, these must be amended by College staff. Please email This email address is being protected from spambots.
